How to Choose a Restaurant POS System: Start With the Operation

Choosing a restaurant POS system is a bigger decision than comparing software features.
The POS sits at the center of ordering, payments, menu management, kitchen communication, reporting and many of the workflows employees use throughout the day. Depending on the restaurant, it may also connect with online ordering, loyalty, gift cards, reservations, labor, inventory, accounting, delivery platforms and other systems.
That means the right POS isn't necessarily the platform with the longest feature list. It is the one that best supports how the restaurant actually operates, fits the larger technology environment and can continue supporting the business as its needs change.
Before comparing POS providers, start with the operation.
How to Choose a Restaurant POS System Around the Operation
Different restaurant concepts ask very different things from a POS system.
A full-service restaurant may depend on table management, coursing, seat positions, complex modifiers, check splitting and handheld ordering. A fast-casual concept may prioritize transaction speed, kitchen routing, online ordering and simple employee workflows. A sports bar may need tabs, multiple revenue centers and workflows designed around high-volume events. A multi-unit group may place greater emphasis on centralized menu management, reporting, permissions and repeatability across locations.
The first step should therefore be documenting what the operation actually needs the POS to accomplish.
How are orders entered? How complex is the menu? How are orders routed to the kitchen or bar? How are payments handled? What exceptions occur regularly? Which reports does management actually use? What systems need to exchange information with the POS?
Understanding those workflows creates a much stronger basis for evaluating platforms than beginning with a vendor demonstration.
Evaluate POS Workflows, Not Just Features
Two POS platforms may advertise many of the same capabilities while handling those capabilities very differently.
That difference becomes important during service.
Consider modifiers. Both systems may support them, but how many touches does an employee need to complete a common order? What happens when a guest requests something outside the normal modifier structure? How easy is it to correct a mistake? Does the workflow make sense to an employee who has been trained recently?
The same questions apply to discounts, voids, comps, split checks, transfers, refunds, gift cards and other everyday functions.
A demonstration should therefore include actual restaurant workflows rather than a vendor simply showing what the software can do.
Build several real transactions from your menu. Process the exceptions employees encounter. Split a complicated check. Apply an actual promotion. Send orders to different kitchen destinations. Close a cash transaction. Process a refund.
The objective is to understand how the POS behaves when the restaurant is operating, not just how polished the demonstration looks.

Restaurant POS Placement Matters Too
Selecting the platform is only part of the POS decision.
Where terminals, handheld charging stations, printers, kitchen displays and payment devices are located can affect employee movement and workflow every day.
A POS terminal can have excellent software and still create operational friction if employees repeatedly have to walk across the restaurant to use it. A printer can function perfectly while being positioned somewhere that interrupts another workflow.

Understand the Complete POS Technology Environment
Modern restaurant POS systems rarely operate alone.
Depending on the concept, the POS may interact with kitchen display systems, printers, payment devices, handhelds, online ordering, loyalty, gift cards, reservations, inventory, labor, accounting, delivery services and other applications.
Before choosing a platform, identify which integrations are essential and determine how they actually work.
Is the integration native or provided by a third party? Which system owns the data? Is information exchanged in real time or periodically? What happens if the integration fails? Who supports the connection when something goes wrong? Are there additional subscription or transaction costs?
An integration appearing in a vendor marketplace does not automatically mean it will support every workflow the restaurant expects.
Test the integrations that matter to the operation.
The Network Is Part of the POS Environment
Cloud-based POS platforms may reduce some traditional on-premise infrastructure, but they make reliable network connectivity even more important.
Terminals, handhelds, kitchen displays, printers and payment devices may all depend on network infrastructure. Internet connectivity may also affect cloud services, reporting, online ordering and other connected applications.
Operators should understand what happens when connectivity is interrupted.
Can the POS continue taking orders? Can it process payments? Which functions become unavailable? How does the system recover when connectivity returns? Does the restaurant need backup internet connectivity?
The POS should be evaluated as part of the restaurant's larger technology environment rather than as an isolated application.

Look Beyond the Initial POS Price
POS pricing can be difficult to compare because the cost extends beyond the advertised monthly software subscription.
Understand the complete commercial model.
That may include hardware, software licenses, implementation, installation, payment processing, handheld devices, kitchen displays, integrations, online ordering, loyalty, gift cards, support, replacement equipment and other services.
Payment processing deserves particular attention because relatively small differences can become meaningful when multiplied across restaurant sales volume.
Contract terms matter as well.
How long is the commitment? What happens if the restaurant wants to leave? Who owns the hardware? Are there early termination provisions? Can payment processing be separated from the POS? What happens to restaurant data at the end of the relationship?
The objective isn't necessarily choosing the lowest-cost platform. It is understanding what the restaurant is actually committing to.

Consider Support Before You Need It
Support is easy to overlook during the sales process because nothing is broken yet.
Ask what happens when something does fail.
Is support available during all restaurant operating hours? How does an employee reach support? What issues can the POS provider resolve remotely? What happens when the problem involves the network, internet provider, payment processor or another integrated system?
It is also worth understanding how replacement hardware is handled. A failed terminal during dinner service creates a different problem than a software question during normal business hours.
Support should be evaluated as part of the product rather than something considered after implementation.
Think About Multi-Unit Restaurant POS Requirements Early
A restaurant opening its first location may not need every enterprise capability on day one, but growth plans should influence the selection.
For a multi-unit restaurant group, ask how the platform handles centralized menus, pricing, reporting, permissions, configuration, integrations and new-location deployment.
Can standards be created once and reused? Which settings can be managed centrally? Where are location-specific exceptions necessary? Can reporting provide both location-level and company-wide visibility?
Changing POS platforms becomes significantly more complicated as an organization grows. Thinking about scalability early can reduce the likelihood that today's solution becomes tomorrow's constraint.
Include the People Who Will Actually Use the POS
POS selection should not happen entirely inside an IT department, executive office or vendor sales process.
Operations needs a voice.
Managers understand the exceptions that happen during service. Servers and bartenders understand the repetitive workflows that can create friction. Kitchen teams understand how order information needs to reach production. Finance understands reporting and reconciliation requirements. Technology teams understand infrastructure, integrations, security and supportability.
Those perspectives expose requirements that may never appear on a standard POS comparison sheet.

Build a Restaurant POS Evaluation Around Real Requirements
Once the requirements are understood, create a consistent evaluation process for each POS provider.
Instead of asking whether a platform has online ordering, ask the provider to demonstrate the restaurant's actual online-ordering workflow. Instead of asking whether it supports reporting, identify several reports management needs and ask to see them. Instead of confirming that discounts are supported, test the promotions the restaurant actually runs.
Document the results.
That turns POS selection from a series of sales presentations into a comparison based on operational requirements.
It also makes tradeoffs easier to understand. No platform will necessarily be strongest in every category. The objective is determining which strengths and limitations matter to this particular operation.
Choosing the Right Restaurant POS System
There is no single best restaurant POS system for every restaurant.
The right choice depends on the concept, service model, menu, workflows, integrations, technology environment, support requirements, growth plans and people who will use the system every day.
Start with the operation.
Define what the restaurant needs the POS to accomplish. Test real workflows. Understand integrations and infrastructure. Evaluate the complete cost and contract. Include the people who will actually use and support the system.
Then select the technology.
